For MERCHANT VENDORS, PERFORMERS & VOLUNTEERS: Describe your business, performance here or volunteer position you are seeking. This is a family-friendly festival. Young children are to have a safe, innocent experience without being exposed to explicit or scary content. No risque' attire, sexually explicit or adult behavior/language allowed in performances, by roaming characters, volunteers or cosplaying vendors. No insignia, displays or content involving political or activist views allowed. This is a Renaissance and Medieval Kingdom not a platform for modern issues, activism or personal agendas. Be in character at all times - representing the festival well- with positivity and courtesy.
Performers: Please upload up to 5 pictures of you in costume, of performaces, and/or your booth setup and any festival participation that features you in action at your booth, volunteering or performing! We can't wait to see!

All Performers, Merchant Vendors, Food Vendors are required to email 1 copy of proof of business insurance: $1,000,000 each occurance / $2,000,000 General Aggregate Liability insurance AND 3- 'Additional Insured' liabiltiy Insurance copies to

Additional Insured 2.) listing 'Lewis & Clark County Fairgrounds' 98 W. Custer Ave. Helena, MT 59602. Additional Insured 3.) listing 'City of Helena' 316 N. Park Ave. Food Vendors must email proof of valid permit and/or relevant licenses prior to the festival. For FOOD TRUCKS & FOOD VENDORS, please type in the complete length of your rig- including mounted generator. Please list your general, main menu for the festival. Cuisine must be tailored for Medieval, Celtic, Renaissance or whimsical themed food options. Accepting non-alcoholic beverage, shaved ice and ice cream / dessert vendors as well. Only 15 total Food Trucks and Food Vendors will be juried. 6 main course trucks, 2 Vegetarian/healthy options trucks, 3 dessert & 4 beverage or other foods, candy, popcorn or snack vendors.
If you are a merchant vendor or food vendor, please upload your business logo or picture of your food truck for advertising purposes. In addition, you must upload at least 3 pictures of your booth setup and products you will be selling for review by the jurying committee. (Max of 10 files) Thank you!

Notes: Please list any special accommodations you might need (pavement, grass, gravel, indoors, etc.). We cannot promise we can meet every need but we will be made aware and can try our best to find solutions. If you have any feedback from festivals you have previously attended and/or worked at that you would like to share, please note it here. We are always trying to improve and incorporate new creative ideas!
Agree to Rules: This is not a common renaissance festival you might be used to. This is a family-centered event- that does not include adult-centric, explicit entertainment. Our vision is one of joy, 'PG' rated entertainment and a very magical, lovely experience for all who partner, work and attend the festival. All displays, products, garb and characters must reflect 13th-17th Century themes. For vendors, performers and partners, modern clothing, wares and cosplay are not appropriate for the fairy, medieval, renaissance experience (steampunk and time travelers are OK!). There are to be no political or social activist agendas dispayed by insignia, costumes, signage, flags or banners. This is a kingdom that depicts the Renaissance era- this is not your platform to address other eras or irrelevant issues. This is a family festival where children can have a safe, fun and neutral experience without being exposed to inappropriate, adult content. There is to be no scanty or scary attire, adult/course language, lewd performance content or sexual inuendos. Those who expose our patrons to foul language or adult content will be asked to leave the festival and will not be invited back. Those who are dressed in an overtly sexual, provacative manner will be asked to change attire or leave the festival. This is not negotiable. There are plenty of other festivals in the nation where the typical adult fun can be enjoyed if this is your sole focus. This Family-friendly festival will be different. Please stay in character throughout the duration of the event - while in the festival area. Try your best to use the King's English or other whimsical speech that fits your fairy wonderland character. Interact with patrons enthusiastically and please participate in 'Trinket Trading' with customers and children. Do NOT pick up or touch children that do not belong to you. This is a festival liability and we want to avoid any issues. Booths may not be left unattended at anytime during open hours. No dogs or other animals are allowed at your booths unless contracted for that specific purpose. You must remain sober and may not consume alcohol while working during open hours at the festival. No smoking allowed within the festival area- this includes medical marijuana, vaping or cigarette/cigars. Second-hand smoke is not consented to by our patrons. There will be designated smoking areas outside of the festival gates. We love family businesses! However, please plan accordingly for childcare and adequate staffing so that you can focus on serving your customers. We cannot be responsible to monitor unattended young children roaming the festival grounds. You are liable and responsible to account for your minor children at all times. Minor children, under 14 years old, are not to be left alone at your booth spaces. All canopies and tents must be decorated in festive themes and contribute to the Fairy, Medieval or Renaissance feel. All tents and canopies must be anchored securely with 50lbs weights on each post or with driven stakes (only upon approval from fairgrounds) to protect from damaging neighboring booths, lift and flying away in strong winds. Liability Insurance is required by all vendors and performers. This protects you, your neighbor and patrons. Retail re-sale, upcycled, value-added and handcrafted products are all acceptable at this festival. Different customers like to purchase different things- so we prefer to allow them the opportunity to decide what they like to buy. It is your own responsibility to follow all copyright laws and regulations. *All sharp weapons must be peace-tied at all times. No open fires or flame of any kind are permitted. 5 Vendor Passes to the 2-Day festival will be issued per booth space. Help create an ambiance of Joy and Festivity.
